Build the WhatsApp link before making the code

A WhatsApp chat QR code normally contains a link in this form: https://wa.me/447700900123. Use the full international number with country code, but remove the plus sign, spaces, brackets, hyphens and domestic leading zero. For a UK number written domestically as 07700 900123, the wa.me form is 447700900123. Use your actual WhatsApp-registered number; this is only an example.

The phone field above expects digits in international format, normally beginning with 44 for a UK number. Do not enter +44 or the domestic 0 after 44. Check the resulting link on a phone with WhatsApp installed and confirm the correct business chat appears before printing. If the account is not available or the number is mistyped, people may reach an error page or the wrong recipient.

Add an optional pre-filled message carefully

A wa.me link can include a pre-filled message using the query parameter ?text=, for example https://wa.me/447700900123?text=Hello%2C%20I%27d%20like%20a%20quote. Spaces and punctuation are URL-encoded; a comma, apostrophe or ampersand must be encoded correctly. The QR tool handles the message field, but test the finished code and confirm the proposed text appears in the chat composer as intended.

The pre-filled message is not sent automatically. The customer can edit or clear it and must press send. Keep it short and neutral: “Hello, I would like to ask about a repair appointment.” Avoid inserting personal or sensitive details into the link. A long message makes the encoded QR symbol denser, which can affect how small it can be printed.

WhatsApp Business or a personal account?

ConsiderationWhatsApp Business appPersonal WhatsApp account
Business identityDesigned to present business details and tools such as a catalogue, greeting and away messages, depending on current app features.Uses a personal profile and may not clearly set customer expectations.
AvailabilityCan help separate customer conversations from personal use if managed appropriately.Messages may mix with private chats and availability may be less predictable.
Customer experienceCan display useful business context before a conversation.Still opens a chat if the number is active and registered.
OperationsStaff should agree who monitors the inbox and how quickly enquiries are answered.Owner availability depends on the individual account holder.

Using a WhatsApp link does not require that you call it “Business” if it points to a personal account; describe the destination honestly. The WhatsApp Business app and WhatsApp Business Platform/API are different products, and their features and terms differ. Check current WhatsApp documentation before relying on a capability such as multiple agents or automated responses.

Set realistic opening-hour expectations

A code on a vehicle, shop window or leaflet can be scanned outside business hours. Put opening times or an expected reply window beside the QR code, and set an away message if your account supports it. Tell customers what to do for urgent issues through an appropriate alternative channel. Do not imply messages are monitored continuously if they are not.

A catalogue or WhatsApp short link can give customers more context, but decide whether the code should start a chat or open a catalogue or product page. A business profile or catalogue may change; test its availability and presentation on the phones your customers use. QRCodeBarn makes a static code from the link you provide and does not offer a hosted short link, inbox or analytics.

Choose a placement where a conversation makes sense

A code can work on a printed quote, business card, service leaflet, product insert, shop counter or appointment reminder when the next action is to ask a question. A tradesperson might add “Message us to arrange a quote” to a van card, while a boutique might invite a customer to ask about stock. These are examples, not a reason to put a code on every surface. On a moving vehicle, a customer must never need to scan while driving.

Pair the code with the exact purpose and business name. “Message the repairs team about this estimate” is clearer than “Contact us”. If separate teams use separate numbers, label each code to prevent messages going to the wrong person. Keep the QR image on a plain background, preserve the quiet zone and test on the actual print material; our print size guide provides further advice.

Privacy and customer data

WhatsApp conversations may contain names, phone numbers, addresses, photographs or other personal information. Collect only what is needed to handle the enquiry, limit staff access and decide how long messages should be kept. Tell customers how information will be used where appropriate, and do not move a conversation into promotional messaging without required permission and a clear lawful basis.

Do not put customer data in the QR code itself. Anyone can photograph and share a printed code, and pre-filled message text is visible before it is sent. Avoid asking people to disclose payment details, health details or other sensitive information in an ordinary chat unless you have an appropriate secure process. Link to your privacy notice where relevant and consult suitable UK data-protection guidance for your circumstances.

Track visits without confusing them with consent

A static QR code does not report scans to QRCodeBarn. If you use your own web page as an intermediate campaign destination, UTM parameters can help identify visits in analytics when configured correctly. Direct wa.me links do not give QRCodeBarn scan counts, and a click or chat start is not consent to marketing. See our UTM guide if campaign attribution matters.

Before you publish the code

  1. Write the number in international digits only, with no plus sign or leading domestic zero.
  2. Check the wa.me link reaches the intended account.
  3. Test any pre-filled text; the customer still chooses whether to send it.
  4. State the business purpose, opening hours and expected response time.
  5. Review the privacy notice and the team’s process for handling messages.
  6. Print at a size that scans easily and provide a non-WhatsApp contact option.

Frequently asked questions

How should a UK number be written in a wa.me link?

Use the country code and subscriber number as digits only. For a UK number such as 07700 900123, the format is 447700900123: no plus sign, spaces or domestic leading zero.

Does a pre-filled WhatsApp message send automatically?

No. The text is placed in the chat composer for the person to review or edit. They must choose to send it.

Can a WhatsApp QR code open a personal account?

Yes, if the number is registered with WhatsApp. Be clear about whether customers are contacting a personal or business account, and consider separating customer and private conversations.

What should I put beside a WhatsApp QR code?

State who will receive the message, what customers can ask about, and when they can expect a reply. Include another contact route for urgent matters or people who do not use WhatsApp.
